Role Overview

The Workshop Admin Clerk will play a vital administrative support role in the Kokstad workshop. This position involves handling day-to-day clerical duties, maintaining accurate records, managing job cards, and facilitating communication between internal teams and external vendors. The role requires someone organized, efficient, and able to manage multiple responsibilities under pressure.

Key Responsibilities

  • Create, update, and manage job cards and pro-forma invoices

  • Raise orders for external vendors directly on the job cards

  • Perform daily bank deposits and ensure financial accuracy

  • Ensure the GMR (General Machinery Regulations) file is current and all documentation is signed and compliant

  • Respond to and resolve internal and external client queries in a timely manner

  • Support communication and workflow between workshop staff and suppliers

Qualifications and Experience

  • Grade 12 (Matric) – Mandatory

  • At least 6 months of experience in an administrative or workshop support role

Technical Competencies

  • Basic knowledge of workshop operations and documentation processes

  • Solid computer literacy, especially with MS Office tools like Word and Excel

  • Understanding of parts, components, and general maintenance materials

  • Ability to work with financial and job documentation

Behavioural Competencies

  • High level of accuracy and attention to detail

  • Good stress management and ability to multitask under pressure

  • Excellent interpersonal communication skills

  • Disciplined, punctual, and dependable

  • Cooperative team player with a result-oriented mindset

  • Must be fluent in both English and Afrikaans
