Key Responsibilities
- Calendar Management: Maintain and organize the Executive GM’s calendar, schedule meetings, appointments, and manage travel arrangements to ensure efficient time management.
- Communication: Handle all correspondence, including emails, phone calls, and letters, ensuring prompt, clear, and professional communication on behalf of the executive.
- Travel Arrangements: Coordinate detailed travel plans, including booking flights, accommodations, and transportation, and preparing itineraries.
- Task Management: Prioritize and manage multiple tasks and projects, ensuring all deadlines are met and operations run smoothly.
- Document Preparation: Prepare and edit documents, reports, presentations, and other materials as needed, maintaining high standards of accuracy and professionalism.
- Event Planning: Assist in planning and coordinating events, meetings, and other special occasions, ensuring all logistics are handled efficiently.
- Confidentiality: Uphold the highest level of confidentiality and discretion when managing sensitive information and executive communications.
- Report Compilation: Compile reports and create detailed Excel spreadsheets to support decision-making processes.
Requirements
- Experience: Minimum of 3 years of experience as a Personal Assistant, preferably in a high-paced environment.
- Skills: Excellent organizational and time-management skills, with strong attention to detail and problem-solving abilities.
- Technical Proficiency: Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Communication: Strong written and verbal communication skills, with the ability to handle correspondence professionally.
- Multitasking: Ability to manage multiple tasks, prioritize effectively, and anticipate the needs of the executive.
- Independence and Teamwork: Capable of working independently while also being a collaborative team player.
