ABOUT THE ROLE

AFGRI Equipment is seeking an Administration Clerk for its Polokwane branch. The successful candidate will be responsible for ensuring the effective maintenance and smooth running of all administrative functions within the branch, supporting operational efficiency and compliance with company policies.

This role requires strong organisational skills, attention to detail, and the ability to handle multiple administrative tasks simultaneously. As an Administration Clerk, you will contribute directly to branch performance by maintaining accurate records, supporting the sales and service teams, and ensuring documentation is processed promptly and correctly.


KEY RESPONSIBILITIES

  • Receive and file all delivery notes accurately.
  • Assist with ad-hoc receiving duties as required.
  • Ensure all documents are processed in sequence, with correct numbering in the system.
  • Maintain strong client relationships by responding promptly to queries and resolving issues.
  • Generate and distribute daily, weekly, and monthly reports from the system, including:
    • Outstanding claims reports
    • Outstanding purchase order reports
    • Negative on-hand stock reports
  • Produce and maintain stock-taking reports and assist with quarterly stock counts.
  • Capture stock count sheets accurately on the system.
  • Open and process job cards for workshop activities.
  • Capture and maintain Motor Fleet log sheets.
  • Support risk management activities at the branch.
  • Assist with debt collection processes to ensure timely payments.
  • Provide assistance with any ad-hoc administrative tasks assigned by branch management.

MINIMUM REQUIREMENTS

Education

  • Grade 12 / Matric Certificate – essential.

Experience

  • Minimum 3 years’ administration experience, preferably in an agricultural, technical, or retail environment.

TECHNICAL KNOWLEDGE & COMPETENCIES

  • Strong computer literacy, especially MS Office (Word, Excel, Outlook).
  • Ability to generate and interpret administrative and operational reports.
  • Clear and professional verbal and written communication skills.
  • Familiarity with stock control processes and document management.

BEHAVIOURAL COMPETENCIES

  • High level of accuracy and attention to detail.
  • Discipline and consistency in work habits.
  • Ability to identify with management goals and support organisational objectives.
  • Strong team player with good interpersonal skills.
  • Willingness to cooperate and assist colleagues across different departments.

WORK ENVIRONMENT & CONDITIONS

  • Permanent, full-time position based in Polokwane, Limpopo.
  • Office-based role with occasional interaction in operational areas.
  • Market-related salary package.
