Role Purpose
We are looking for an experienced and detail-oriented Administration Supervisor to support the Retail Manager in overseeing the daily operations of our Vanderbijlpark branch. This role is key to ensuring that all administrative, financial, and personnel functions run smoothly and in accordance with company policies.
The Administration Supervisor will be responsible for a broad range of duties, from cash management to HR support, helping to maintain efficiency and compliance within the store environment. This is a leadership role suited to someone who thrives under pressure and values structured processes.
Key Responsibilities
1. Cash Management

Prepare and distribute float allocations to cashiers and administration desks

Consolidate daily takings and prepare for banking

Assist cashiers with cash drop-offs and resolve cash handling discrepancies

Be ready for SBV collections and ensure correct cash documentation
-
Ensure smooth shift-end cash-ups and corrections with Retail Manager approval
2. Administrative Oversight
-
Process stock write-offs and transfer documentation
-
Verify supplier invoices against orders and initiate GRV processes
-
Issue purchase orders and manage stock transfers
-
Maintain organised record-keeping systems and weekly reporting structures
3. People and HR Coordination
-
Reconcile biometric clock-ins with manual attendance registers
-
Assist with recruitment, leave management, and uniform issuance
-
Handle casual staff payments and HR-related administration
-
Monitor IR issues in coordination with the HR department
-
Maintain cleanliness schedules and staff welfare supplies
4. General Store Operations

Supervise canteen upkeep and supplies
-
Monitor stationery, soap, and in-store labelling stock levels
-
Stand in for the Retail Manager when needed
5. Collaboration and Teamwork
-
Support store departments and management teams

Be an active contributor to staff meetings and planning sessions

Fulfil any ad hoc duties assigned by the Retail Manager
6. Health, Safety, and Hygiene
-
Enforce compliance with workplace safety policies
-
Promote high standards of personal and environmental hygiene

Ensure all employees wear correct PPE and follow safety protocols
Qualifications and Experience Required
-
Grade 12 (Matric) required
-
Post-matric qualification or diploma in Administration or related field is advantageous

Minimum 2 years’ experience in retail administration, preferably in the FMCG sector

Computer literacy, especially in Microsoft Office Suite (Excel, Word, Outlook)

Ability to communicate fluently in both English and Afrikaans

Excellent organisational skills and high attention to detail

Familiarity with attendance systems, HR protocols, and basic bookkeeping
