Role Overview:
Smollan is seeking a detail-oriented and organized Admin Assistant II to support daily operational, administrative, and coordination functions within the Johannesburg CBD office. This role is critical to ensuring the smooth execution of trade visits, sales tracking, and internal office administration. It requires a motivated individual who thrives in fast-paced FMCG or retail environments and can manage multiple tasks with efficiency and accuracy.

Key Responsibilities:

Sales Tracking and Reporting:

  • Maintain up-to-date records of sales activities, reports, and results

  • Support the sales team by compiling relevant data and generating periodic performance summaries

  • Assist in tracking progress against objectives and identifying gaps in execution

Trade Visit Coordination:

  • Organize and coordinate trade visits in collaboration with field and sales teams

  • Liaise with stakeholders to ensure trade visits are well-planned and align with operational goals

  • Compile and distribute itineraries and relevant documentation

Budget Management Support:

  • Assist in monitoring and reconciling budgets related to trade and marketing activities

  • Maintain accurate expense records and support compliance with financial policies

  • Prepare documentation for budget approvals and financial reporting

Office Administration:

  • Perform general office duties including filing, photocopying, and stationery management

  • Ensure smooth daily operations of the office through proper upkeep and organization

  • Support departmental logistics including travel bookings, meeting arrangements, and procurement

Diary Management and General Administration:

  • Manage calendars, schedule meetings, and coordinate appointments for senior team members

  • Prepare and format reports, presentations, and meeting minutes

  • Serve as a point of contact for internal and external communication where necessary

Qualifications and Experience:

Minimum Requirements:

  • Grade 12 / NQF Level 4

  • 1–2 years of secretarial or administrative experience, preferably in a retail or FMCG environment

  • Strong computer literacy with proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)

Skills and Competencies:

  • Excellent verbal and written communication

  • Time management and ability to handle multiple priorities

  • High level of attention to detail and accuracy in reporting

  • Financial awareness and basic budgeting knowledge

  • Strong planning and organizational capabilities

  • Ability to work independently and as part of a team
