Job Overview:

AVBOB is seeking a Clerk: Policy Service to join their Policy Services Department. The successful candidate will be responsible for processing and managing policy-related documents, ensuring accuracy and adherence to procedures, and supporting the team in daily operational tasks.


Key Responsibilities:

  • Document Management:
    • Ensure policy numbers on application forms match those in the workflow.
    • Verify all required documents are correct, complete, and indexed properly.
    • Read and interpret documents to understand the nature of the inquiry before scanning and indexing.
    • Scan documents ensuring clarity, proper orientation, and correct resolution settings.
    • Check if all pages are scanned correctly, ensuring duplex scanning where applicable.
    • Manage incoming mail, sort and prepare documents for scanning.
    • Capture all returned mail on the production system and rectify policyholder addresses.
  • Data Accuracy:
    • Investigate unresolved document items and re-index accordingly using the outstanding procedure.
    • Ensure timely handling and completion of transactions, keeping within a 24-hour maximum timeframe.
    • Update client details, including contact information, language preferences, and banking details for various transactions.
    • Print duplicate contract/policy information and process requests accordingly.
  • Reporting & Filing:
    • Report system errors to Team Leaders or Department Head.
    • File scanned documents and maintain records as instructed.
    • Communicate with clients and branches regarding outstanding requirements.
  • Team Support:
    • Work towards daily, weekly, and monthly targets set by Team Leaders.
    • Report errors to Team Leaders promptly and follow up on unresolved items.
    • Assist with stock management, such as ordering, receiving, and storing stationery.
    • Mark and send boxes of scanned documents to the Correspondence department.

Requirements:

  • Education:
    • Grade 12 (Matric)
  • Experience:
    • 1 year of administrative experience (preferably in the insurance industry).
    • Experience in Long Term Insurance and client service is recommended.
  • Skills & Competencies:
    • Ability to communicate fluently in English and Afrikaans (read, write, and speak).
    • Proficient in Microsoft Word and Excel.
    • Good attention to detail and accuracy in handling documents.
    • Strong time management and organizational skills.
    • Ability to adhere to regulations and quality standards.
