Purpose of Job

To provide day-to-day operational personal assistance and secretarial/administration support to the Senior Vice President (SVP)/Vice President (VP). Act as the manager’s first point of contact with both internal and external stakeholders, coordinating business functions such as personnel administration, office coordination, and budget monitoring. Manage e-mail, diary, and administrative tasks efficiently for the SVP/VP.


Key Accountabilities

  • Diary & Calendar Management:
    • Coordinate and plan meetings, ensuring availability of key stakeholders.
    • Anticipate and resolve conflicts in scheduling.
    • Book meeting rooms, organize visitor access, and coordinate catering and refreshments for meetings.
  • Secretarial & Administrative Support:
    • Manage telephone calls, take messages, and schedule appointments.
    • Compose and type routine letters, agendas, memoranda, reports, and meeting minutes.
    • Attend meetings, take minutes, and ensure timely completion of follow-ups.
  • Project Management & Logistics:
    • Plan and organize projects, ensuring deliverables are executed within timelines.
    • Make travel arrangements (local and international), including visas, passports, and accommodations.
    • Monitor and report on budget and expenses, analyzing trends.
    • Ensure availability and proper use of office equipment, supplies, and facilities.
  • Documentation & Reporting:
    • Prepare and maintain office records, reports, and correspondence.
    • Reconcile and manipulate data for management reports from various sources.
    • Maintain an efficient filing system for easy document retrieval.
  • Effective Communication & Stakeholder Relations:
    • Develop and maintain effective relationships with internal and external clients.
    • Provide timely responses to internal stakeholder queries.
    • Adapt communication style to meet the needs of a diverse audience.

Formal Education & Experience

Formal Education

  • Grade 12
  • Higher Certificate or Diploma or similar qualification in administration

Experience

  • 3+ years of relevant experience in administrative or secretarial roles.
