Job Description

Role Overview

This position is primarily responsible for the overall Traffic management throughout the Agency.  Briefing every job that comes into the Agency through to the necessary departments and ensuring timeous delivery on each.

Management of the Traffic Department in the co-ordination and control of the workflow from brief through all facets of creative origination, production implementation to final material stage, across all media, ensuring deadlines and other commitments are met.

This position will also handle a portfolio in terms of functional traffic control.

 

Duties

Operational Excellence

Functional Traffic Control

  • Open jobs and load onto the system
  • Control of receipt and dissemination of complete and correct briefs
  • Distribution of complete and correct briefs
  • To co-ordinate and control the flow of work in the Agency
  • Upkeep of job path
  • Co-ordinate Creative boards and keep Creative abreast of changes to meetings and deadlines
  • Upkeep of the board system / work-flow systems
  • Reading of briefs for content
  • Co-ordinating briefs and work via the various departments
  • Chasing of CE’s (cost estimates)
  • Allocation of work
  • Booking of the Studio and Design
  • Updating status on jobs
  • Participative problem solving
  • Ensure production is briefed for any film, recordings or shoots
  • Arranging WIP (Work in Progress) sessions with the creative team
  • Arranging Review Boards and ensure work is ready for same
  • Work closely with and build good inter-departmental relationships, with Client Services, Production, Creative and Management

Traffic Management

  • Plan resource capacity within Traffic
  • Control of flow of work through agency
  • Co-ordinate the necessary designers, studio, creative/art directors, etc.
  • Liaise with Production
  • Organise the necessary freelancers when required in collaboration with the Operations and Creative Director
  • Co-ordinate weekly status and priorities meetings
  • Closely monitor timing and deadlines to ensure the jobs are on track
  • Communicate delays timeously to affected departments.
  • Maintain relationships between Traffic, Client Service and Creative

Cost Control

  • Effective cost control
  • Minimise errors
  • Chase cost estimates, samples and pulls of jobs
  • Alert the Head of Traffic on all areas of concern timeously

Problem Solving

  • High interest and encourage participative problem solving
  • Participate in problem solving
  • Manage unforeseen / crisis situations

Time Management

  • Negotiation of creative commitment to meeting deadlines
  • Meet deadlines according to critical paths
  • Foster confidence of stakeholders in the delivery system

Job Requirements

Qualifications & Experience

  • Matric
  • Diploma / Degree in related field
  • Good interpersonal skills to deal with various personalities within the Agency
  • Motivator and ability to get good work delivered by the creative team
  • Solid experience in organizing, prioritizing, and scheduling work assignments.
  • 7+ Years’ experience within agency traffic environment is a must
  • Thorough understanding of the advertising and creative process
  • Highly proficient in working on Chase
