Answer inquiries and obtain information for general public, customers, visitors, and other interested parties. Provide information regarding activities conducted at establishment; location of departments, offices, and employees within organization.

Job Description

Duties and Responsibilities

  • Answer the telephone in a professional manner.
  • Screen Calls and route calls accurately
  • Take accurate messages and forward them timeously
  • Welcome visitors and redirect them to the appropriate person
  • Ensuring quiet and neat administration of the following:

    –       Sorting and distribution of mail

    –       Reception area

    –       Courier documents and parcels as and when requested

  • Screening and routing of incoming and outgoing mail – hand delivered (courier)
  • Assist with other functions as per manager’s instruction
  • Communicate challenges and changes which affects the business to management
Job Requirements

Knowledge / Experience / Skills / Abilities

  • Above average verbal communication and listening skills
  • Ability to withstand pressure and provide above average services
  • Must at all times be diplomatic, patient and assertive
  • Ability to work independently and use initiative along with problem solving abilities
  • Ability to build strong effective relationships with all stakeholders, i.e. Parties of the Council, Clients and management team
  • Adopt appropriate interpersonal style in achieving task accomplishment, modifying behavior according to tasks and individuals involved
  • Conduct professional telephone etiquette.
  • Must be a good team player and achieve objectives as set out by the Departmental Manager
  • Must be meticulous in carrying out tasks/instructions etc
  • Knowledge of the Motor Industry Bargaining Council and its functions, and Labour Relations would be an advantage.

Qualifications

 

  • Matric (Grade 12) or equivalent qualifications
  • Customer orientated behavior essential (callers, service providers, agents)
  • At least 1 year switchboard operation
  • Presentable and professional attitude
  • Fluent in English
  • Bilingual advantageous
  • Computer Literacy essential
