What Does a Government Office Administrator Do?

Office Administrators are essential to the effective functioning of the Directorate: Public Employment Services at the Provincial Office. In this role, you will be responsible for providing receptionist and diary management support to the Director: PES, rendering secretariat services, assisting with budget monitoring and supply chain management, facilitating logistical and resource coordination, managing information and records, and tracking and monitoring project tasks — ensuring the smooth and compliant operation of the Directorate at all times.

This is a multi-functional, senior administrative support role that requires a relevant NQF Level 6 or 7 qualification, one year’s functional experience in office administration or secretariat services, and sound knowledge of departmental policies, Batho Pele Principles, and public service administration procedures.


Key Responsibilities of an Office Administrator

Receptionist & Diary Management Support

  • Provide receptionist support to the Office of Public Employment Services.
  • Manage the diary of the Director: PES accurately and proactively.
  • Handle incoming calls and visitors professionally and in line with departmental standards.
  • Ensure the Director is well-prepared for all engagements and appointments.

Secretariat Services

  • Render secretariat services for the Office of the Director: PES.
  • Coordinate and schedule meetings, prepare agendas, and record minutes.
  • Distribute minutes and follow up on action items with relevant stakeholders.
  • Draft routine correspondence, reports, and briefing documents as directed.

Budget Monitoring & Supply Chain Support

  • Assist in monitoring and maintaining the budget for the Directorate: PES.
  • Support supply chain management functions within the Directorate.
  • Ensure all budget and supply chain activities comply with departmental policies and the PFMA.
  • Maintain accurate financial records and supporting documentation.

Logistical & Resource Coordination

  • Facilitate and coordinate all logistical and resource requirements of the Directorate.
  • Arrange meetings, events, travel, and accommodation for the Director and directorate staff.
  • Liaise with internal and external stakeholders to ensure all logistical requirements are met timeously.
  • Ensure resources are available and correctly allocated for all directorate activities.

Information & Records Management

  • Provide management information and records management services within the Directorate.
  • Maintain accurate physical and electronic filing systems and document management databases.
  • Ensure all records are stored, retrieved, and disposed of in line with applicable legislative requirements.
  • Handle incoming and outgoing correspondence and ensure timeous distribution.

Project Tracking & Monitoring

  • Track and monitor project tasks within the Directorate.
  • Provide regular progress updates to the Director and relevant stakeholders.
  • Identify delays, risks, or bottlenecks and escalate to the Director timeously.
  • Support the Directorate with project coordination and administrative reporting.

Minimum Requirements – Office Administrator

Educational Qualifications:

  • Three-year National Diploma (NQF Level 6) in Office Management, Information Management and Technology, Public Administration, Business Administration, Business Management, or Public Management (essential)
  • OR Undergraduate Bachelor Degree (NQF Level 7) in a relevant field (essential)

Experience:

  • Minimum of 1 year’s functional experience in office administration or secretariat services (essential)
