The Maintenance Planner plays a critical role in coordinating, scheduling, and supporting all maintenance activities to ensure optimal performance of building systems and infrastructure across client sites.
About the Role
The Maintenance Planner is responsible for coordinating and scheduling all preventative, corrective, and routine maintenance activities. The role ensures that maintenance work is planned efficiently, resources are available ahead of time, and equipment downtime is minimised.
This position supports operational continuity by maintaining accurate maintenance schedules, updating asset records, and working closely with maintenance teams, contractors, and suppliers to deliver high-quality facilities management services.
Key Responsibilities
The Maintenance Planner is responsible for planning and scheduling preventative, corrective, and routine maintenance activities in line with operational requirements and asset strategies.
Daily, weekly, and monthly maintenance plans must be prepared and communicated clearly to maintenance teams and relevant stakeholders to ensure work is executed efficiently and on time.
The role ensures that all required parts, tools, and resources are available before maintenance work begins, reducing delays and unplanned downtime.
Maintenance records, asset history, and technical documentation must be updated accurately, with a strong focus on tracking KPIs, maintenance performance, and equipment reliability.
The Maintenance Planner conducts site inspections to identify maintenance issues, risks, or inefficiencies and works proactively to address them.
Close collaboration with contractors, suppliers, and internal maintenance teams is required to ensure alignment, quality workmanship, and compliance with service standards.
The role supports reporting requirements, regulatory compliance, and safety standards across all maintenance activities.
Maintenance Planning and Asset Management
This role requires a strong understanding of building systems, including electrical, plumbing, and HVAC systems, and the ability to plan maintenance activities that extend asset life and improve reliability.
The Maintenance Planner must work confidently with Computerised Maintenance Management Systems (CMMS) such as JDE or similar platforms, ensuring accurate data capture and reporting.
Skills and Competencies
The successful candidate will demonstrate strong planning, organising, and communication skills, with the ability to coordinate multiple maintenance activities across different sites or assets.
The role requires the ability to read and interpret technical drawings and maintenance documentation.
A strong customer service orientation is essential, as the role supports internal teams and external clients.
The Maintenance Planner must be able to work under pressure, manage competing priorities, and operate independently when required.
A safety-focused mindset and high attention to detail are critical to ensuring compliance and operational excellence.
Qualifications and Experience
Grade 12 is required.
An Electrical or Mechanical trade qualification with 5 years’ experience is required.
Studying towards a Certified Maintenance Manager (CMM) qualification is advantageous.
A minimum of 2 years’ experience in maintenance planning is required.
Experience working with CMMS systems such as JDE or similar is essential.
Strong technical understanding of electrical, plumbing, and HVAC systems is required.
