Role Overview

The Fleet Administrator role at the Mthatha branch is a permanent position reporting to the Fleet Manager. The successful candidate will play a vital role in the administration and management of company vehicles while ensuring compliance with internal controls and operational standards.

This position requires a highly organised individual with strong administrative skills, capable of balancing deadlines with accuracy. The role is central to maintaining the smooth operation of Fidelity’s fleet, supporting the branch and fleet management teams, and ensuring that vehicles are effectively managed, serviced, and compliant with regulations.

Key Responsibilities

As a Fleet Administrator, your main responsibilities will include:

  • Fleet Records and Documentation: Maintaining an accurate and up-to-date filing system, archiving documents, and ensuring proper document management for all fleet-related activities.

  • Administrative Support: Assisting the Fleet Manager and Branch Manager with day-to-day administration, reporting, and logistics.

  • Reporting Duties: Preparing daily, weekly, and monthly fleet management reports to ensure transparency and accountability.

  • Purchase Orders and Invoicing: Processing purchase orders, handling invoicing, and managing Capex and asset requirements.

  • Vehicle Maintenance: Coordinating and overseeing maintenance schedules, ensuring vehicles remain in good working order.

  • Accident Reporting: Ensuring accidents are investigated properly, documentation is completed accurately, and reports are submitted to Head Office within required timelines.

  • Supplier Communication: Obtaining quotations, issuing orders, and following up with Head Office for authorisations and payments.

  • Compliance: Assisting with monitoring operational compliance, ensuring company policies and health & safety regulations are adhered to.

  • General Enquiries: Handling fleet-related enquiries from staff and external stakeholders in a professional manner.


Minimum Requirements

Candidates applying for the Fleet Administrator role must meet the following requirements:

  • Matric certificate or equivalent qualification.

  • At least 2 years of administration experience (experience in fleet administration is an advantage).

  • Clear criminal record.

  • Proficiency in Microsoft Office (Word, Excel, Outlook).

  • Excellent written and verbal communication skills.

  • Ability to work extended hours when necessary.

  • Proven ability to work independently, under pressure, and meet strict deadlines.
