Role Overview

The Bookkeeper & Office Administrator will manage accounting and administrative tasks vital to the smooth operation of the company. This includes bookkeeping, financial record keeping, inventory management, customer and supplier liaison, as well as office administration. The successful candidate will provide comprehensive support to finance, HR, and operations teams, ensuring accurate financial data and efficient office functioning.


Key Responsibilities

Financial Duties

  • Maintain accurate and current financial records of purchases, expenses, sales, and receipts.
  • Record daily financial transactions and assist in preparing financial statements including balance sheets and income statements.
  • Support the senior accountant with monthly management accounts and annual audits.
  • Assist with debtors’ management: customer quotations, invoice processing, statement reconciliations.
  • Manage creditors: supplier relationships, purchase orders, invoice processing, reconciliations, and credit applications.
  • Perform daily bank statement capturing and reconciliation.
  • Manage costing and VAT reconciliation of import shipments within the ERP system.
  • Oversee inventory management, monthly stock takes, and ensure system accuracy.
  • Prepare export shipment documentation and coordinate with freight forwarders for customs clearance.
  • Maintain employee files, contracts, and assist with payroll and leave management.

Office Administration Duties

  • Provide front desk customer service, answering phones, and managing correspondence.
  • Organize schedules, appointments, and travel arrangements.
  • Handle clerical duties such as document preparation, filing, scanning, and office supply management.
  • Manage driver schedules and vehicle license renewals.
  • Offer executive support to the Managing Director.
  • Oversee supplier and customer orders, ensuring timely delivery and shipment.

Candidate Profile

Qualifications & Experience

  • Matric or Grade 12 is required.
  • Associate degree or relevant diploma/certificate in Accounting preferred.
  • Qualifications such as ACA, ACCA, or CIMA are a plus but not mandatory.
  • 3 to 5 years’ experience in bookkeeping and office administration or similar roles.
  • Proficient in accounting software or ERP systems with advanced Microsoft Excel skills.

Skills and Abilities

  • Strong understanding of accounting and financial reporting principles.
  • Ability to work independently, with integrity and minimal supervision.
  • Fluency in English and Afrikaans, both verbal and written.
  • Exceptional organizational skills and attention to detail.
  • Ability to handle confidential information professionally.
  • Adaptability to new software and processes.
  • Excellent communication, planning, and multitasking skills.
  • Reliable, honest, and able to work under pressure and flexible hours when required.
