Position Overview
The CMMS Data Administrator plays a vital role in managing and maintaining client account data across Broll’s asset management platforms such as Concept Evolution and Planon. As the custodian of client data, this position ensures high-quality control over all data inputs, updates, and changes to support seamless operational execution. The role involves collaboration with internal teams, suppliers, and clients, and is critical to maintaining accurate and efficient facilities management data systems.
Key Responsibilities
Data Management and Quality Control
- Create and maintain client data including sites, buildings, locations, contacts, and contracts within Concept Evolution and Planon systems.
- Administer asset registers, hazard information, instruction sets, cost centers, and contract groups.
- Maintain asset warranty, disposal data, and ensure compliance with client asset register standards.
- Perform quality control to ensure data received from operations conforms to client specifications.
- Support the operations team with quality assurance and logging of work instructions related to asset warranties and other key information.
- Manage administration for new site take-ons and handovers including project plan creation.
Planned Preventative Maintenance (PPM) Management
- Schedule and maintain PPM tasks according to signed workbooks in Concept Evolution and Planon.
- Manage PPM release, suspension, and changes, ensuring timely follow-ups on PPM work instructions.
- Assist building and technical managers with PPM-related queries and coordination.
Client and Supplier Support
- Provide technical assistance to internal clients and suppliers on Concept Evolution, Planon, and Broll Portal queries.
- Manage user accounts, roles, instruction sets, categories, disciplines, priorities, fault codes, cost centers, and contract groups.
- Monitor and resolve logged calls related to CMMS and asset data, escalating issues when necessary.
Reporting and Communication
- Develop, compile, and format ad-hoc reports as requested by client account managers.
- Establish and maintain professional relationships with internal clients, suppliers, and external stakeholders.
- Track and resolve issues promptly while ensuring service levels and deadlines are met.
- Communicate effectively at all levels and promote a positive company image.
Teamwork and Additional Duties
- Collaborate with various departments to provide technical solutions.
- Keep management informed of activities and significant issues.
- Attend relevant meetings and maintain a clean, secure work environment.
- Be flexible to work overtime and assist with call-taking during peak periods.
Performance Metrics
- Completion of tasks accurately and within set deadlines.
- Successful knowledge transfer through training sessions.
- Compliance with company standards, policies, and procedures.
- Timely and accurate reports and documentation.
- Effective communication of client activities and problem resolution.
- Strong working relationships with clients and Broll staff.
Qualifications and Experience
- Minimum Matric (Grade 12) qualification required.
- Extensive knowledge of database structures and program applications.
- Formal training in Concept Evolution, Planon, Broll Management Portal, and DataMart reporting.
- At least three years of relevant software and program experience.
- Proficient in MS Office, especially Microsoft Excel.
Skills and Abilities
- Ability to travel nationally and internationally if required.
- Strong independent working ability with excellent problem-solving skills.
- Project management capabilities.
- Excellent oral and written communication skills across all organizational levels.
- Ability to work under pressure and flexible with after-hours work when necessary.
