ROLE OVERVIEW

mothers2mothers is hiring six Data Filers to support a USAID-funded health program being implemented across Mpumalanga’s Ehlanzeni, Nkangala, and Gert Sibande districts. The programme targets children living with HIV (CLHIV), ages 0–20, and their families, ensuring they access the full continuum of HIV and health services. This fixed-term contract runs from 1 July to 15 September 2025, with potential adjustments to the timeline.

The Data Filers will provide critical administrative and filing support to ensure accurate, timely management of client data and tools used in the field.

KEY RESPONSIBILITIES

1. Administrative and Filing Duties

  • Receive, count, and sort field forms for accuracy and completeness

  • Organise files using established guidelines—by family, beneficiary, and household

  • Assign and label household IDs using provided stickers and record them in the system

  • Verify and capture household IDs in alignment with project documentation standards

  • File forms and documents by sub-district and district for efficient retrieval

2. Registry and Records Maintenance

  • Retrieve, update, and maintain file records as requested by the team

  • Assist in the preparation of field data tool packages to support field teams

  • Ensure secure, systematic, and confidential data storage

3. General Support

  • Collaborate with team members and provide administrative assistance to the M&E and programme teams

  • Carry out additional tasks assigned by the management team to ensure smooth project execution

QUALIFICATIONS AND EXPERIENCE

  • Matric / Grade 12 certificate (compulsory)

  • 1–2 years of relevant experience in administration or data capturing

SKILLS AND COMPETENCIES

  • Strong organisational and time management skills

  • Attention to detail and commitment to data accuracy

  • Effective problem-solving and multitasking capabilities

  • Professional, presentable, and proactive attitude

  • Fluent in English and at least one local language: isiSwati, isiZulu, or xiTsonga

  • Excellent communication and interpersonal skills

  • Ability to remain focused in high-pressure environments and meet deadlines

  • Proven reliability in handling sensitive data with confidentiality
