Role Overview

Dis-Chem Pharmacies is seeking a detail-oriented and organized Admin Clerk for the CJ Speciality unit. The primary purpose of this role is to manage various warehouse support and administrative duties within the Distribution Centre. The successful applicant will ensure compliance with company standards and industry regulations while maintaining exceptional customer service and operational efficiency.

Key Responsibilities

Warehouse Support Services

  • Process warehouse and sales order credit requests promptly and accurately

  • Oversee credit-related requests and ensure timely resolution

  • Maintain effective communication between stores, warehouses, and internal departments

  • Ensure warehouse returns are processed according to Dis-Chem’s standards

  • Investigate warehouse delivery discrepancies and assist Finance with resolutions

  • Review, approve or decline warehouse credits while ensuring data integrity

Administrative Functions

  • Maintain accurate records and reports for operational metrics

  • Manage outsourced service providers’ timesheets and payroll documentation

  • Order and manage stationery for various departments

  • Submit and verify invoices before processing for payment

  • Perform general administrative duties as required by management

Goods Receiving – MIRA

  • Capture invoices using the MIRA system for all goods received

  • Ensure proper documentation and resolution of shortages and damages

  • Validate invoices and match them with delivery notes and GRNs

  • Process credits for returned goods and ensure Head Office receives green-lighted invoices

  • Capture specific invoice types such as newspapers, magazines, and external supplier claims

Customer Service

  • Handle high volumes of inbound and outbound calls

  • Maintain records of stakeholder communication and feedback

  • Address complaints and escalate unresolved issues

  • Ensure timely creation and delivery of orders

  • Follow internal communication protocols for effective resolution

Order Management

  • Create and capture accurate purchase orders in SAP

  • Reconcile SL02 vendor returns with physical inventory and open return orders

  • Process distribution goods issues per standard operating procedures

  • Ensure supplier and distribution orders are captured without errors

Stock Adjustments

  • Conduct adjustments using transaction codes 701, 702, 551, and cycle count corrections

  • Prepare and process supplier returns accurately

  • Liaise with supplier representatives to coordinate return pickups

General and Working Conditions

  • Maintain a clean and organized workstation in line with Dis-Chem standards

  • Adhere to company policies, SOPs, and safety protocols

  • Be flexible to work shifts, including weekends, holidays, and overtime

  • Be physically fit to perform lifting, pushing, pulling, standing, and kneeling tasks

Qualifications and Experience

  • Grade 12 / Matric

  • Diploma or Degree in Transport Management, Logistics, or Supply Chain

  • 1–2 years of experience in a similar administrative or logistics support role

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)

  • Knowledge of SAP and MIRA systems is advantageous

  • Must be a South African Citizen with a valid driver’s license and reliable transport

  • Clean credit and criminal background checks required
