Role Overview

Multifranchise Northcliff is seeking a professional and customer-oriented Service Bookings Administrator to ensure the smooth and efficient handling of all service department bookings. This position plays a critical role in creating a welcoming experience for clients, whether telephonically or in person, and ensuring that workshop scheduling, communication, and administration are managed with precision. The successful candidate will play a vital part in enhancing the overall customer aftersales journey.

Key Responsibilities

  • Meet and greet all walk-in customers in a friendly and professional manner

  • Answer incoming service-related calls and handle booking queries

  • Accurately schedule service and repair bookings using dealership systems

  • Contact customers regarding vehicle service campaigns and arrange appointments

  • Prepare and distribute a daily planning list of workshop bookings

  • Print job cards ahead of scheduled service dates

  • Confirm bookings for clients when ordered parts have arrived

  • Follow and maintain internal processes for efficient workflow in the service department

  • Provide accurate, up-to-date information to clients and team members

  • Professionally handle calls and relay messages to the correct departments promptly

  • Ensure all documentation is correctly typed, filed, and easy to retrieve

  • Perform general administrative duties and support management where required

  • Contact clients to confirm services are completed and close service tickets

  • Update workshop planning boards to reflect upcoming appointments

Qualifications and Experience

  • Matric / Senior Certificate (Grade 12) – essential

  • 2+ years of experience in a similar role, such as Bookings Clerk or Service Receptionist, ideally in a retail motor dealership

  • Valid and endorsed South African driver’s license – essential

  • Computer literacy (MS Office Suite) – essential

  • DMS system knowledge (Dealer Management Systems) – required

Skills and Competencies

  • Excellent verbal and written communication in English

  • Multilingualism in locally spoken languages is a strong advantage

  • Proven interpersonal skills and the ability to build professional relationships

  • High attention to detail and ability to accurately capture data
