Role Overview

Reporting to the Finance Manager, the Patient Administration Manager will be responsible for leading, managing, and coordinating all functions related to patient administration. This includes reception, billing, case management, authorisations, medical aid claims, and collections. The successful candidate will ensure accuracy in financial and patient data, compliance with healthcare regulations, and superior service delivery, all while supporting the hospital’s strategic and financial goals.


Key Responsibilities

Administration Management

  • Oversee the entire patient administration process, including reception, case management, medical billing, collections, and tariff structure management.

  • Ensure accurate authorisations, tracking of length of stay (LOS), and timely identification of financial risks such as co-payments and exclusions.

  • Investigate and resolve claims, rejections, and payment queries swiftly to minimise financial delays and risks.

Financial Coordination

  • Process journals and financial adjustments where required.

  • Reconcile the Debtors Control Account monthly, ensuring consistency and accuracy in financial records.

  • Collaborate with medical aid funders to resolve discrepancies and maintain positive working relationships.

Reporting and Compliance

  • Prepare and present month-end reports, statistics, and audit documentation.

  • Participate in quarterly and annual stock-takes in collaboration with finance and clinical teams.

  • Ensure complete compliance with internal policies, healthcare legislation, and industry best practices.

Team Leadership

  • Manage and guide a team of patient administration professionals across all relevant functions.

  • Provide ongoing training, development, and performance evaluations to ensure a high-performing and service-driven team.

Customer Service Excellence

  • Ensure all administrative touchpoints within the hospital meet exceptional service standards.

  • Address patient and stakeholder queries effectively and empathetically, balancing efficiency with professionalism.


Qualifications and Experience Required

  • Registered Nurse (SANC registered) with ICU experience preferred.

  • Minimum of 5 years’ experience in medical aid administration and hospital case management (ICD-10, CPT-4 procedure codes, and Per Diems).

  • At least 2 years’ supervisory or management experience within a hospital or healthcare administrative environment.

  • Knowledge of hospital billing systems, tariff structures, and private healthcare packages.

  • ICD and CPT coding course certification highly desirable.

  • Strong understanding of private healthcare operations and funder requirements.
