Role Overview
The Administrator: Fleet position is essential to ensuring that the daily operational processes involving the vehicle fleet are meticulously executed. The successful candidate will be responsible for a variety of administrative tasks related to the fleet’s acquisition, maintenance, compliance, and disposal. Key Responsibilities
The Fleet Administrator will support the branch’s vehicle fleet operations by providing efficient administrative services, coordinating key operational activities, and ensuring compliance with company policies and industry standards. The core duties include:

Coordinating and submitting accurate reports on a monthly basis, including but not limited to the Monthly Vehicle Specification Sheet and NAAMSA procurement statistics.

Managing fuel updates on the operational system (Impress) to ensure timely and accurate fuel tracking.

Administering the vehicle model parameter data within Impress for proper system integration and updates.

Performing filing and other administrative tasks to meet internal audit requirements.

Supporting the Fleet Supervisor in strategic fleet planning and logistical coordination.

Managing the arrival (fleeting) and removal (de-fleeting) of vehicles in the branch’s operations.

Capturing and processing sold vehicle data in the Impress system.

Ensuring all vehicle license renewals for Cape Town are current and compliant with legal standards.

Coordinating compliance-related documentation, such as spare keys and license discs.

Handling general administrative and ad hoc tasks to support the overall efficiency of the department.
Qualifications and Experience
Minimum Experience
-
A minimum of 2 years’ experience in an administrative role, preferably within the car rental or fleet management industry.
Minimum Qualification
-
Matric (NQF Level 4) or equivalent.
Preferred Qualification
-
A tertiary qualification in Business Management or a related field will be advantageous.
Minimum Requirements

A valid, unendorsed driver’s license is essential.

Strong computer literacy, particularly with systems like Impress, and the ability to work accurately with data.

Flexibility to work overtime and weekends when required.
