Job Overview

The Receptionist will be the first point of contact for all visitors, ensuring they are welcomed with enthusiasm while performing various administrative tasks to maintain smooth office operations. The role requires strong customer service skills, attention to detail, and the ability to manage multiple tasks effectively.

Key Responsibilities

Reception & Guest Services

✔️ Greet and welcome guests upon arrival and direct them to the appropriate person/office.
✔️ Answer, screen, and forward incoming calls.
✔️ Maintain a tidy, presentable reception area, foyer, and meeting rooms with necessary materials (e.g., pens, brochures, forms).
✔️ Provide accurate information to guests in-person, via phone, or email.
✔️ Ensure office security by following safety procedures and controlling access through the reception desk (e.g., monitor register, issue parking tickets).
✔️ Offer refreshments for meetings as requested.

Administrative Support

✔️ Assist with capturing fingerprints for MIE checks.
✔️ Extract data and input it into spreadsheets and standard formats.
✔️ Produce accurate reports from collected data.
✔️ Manage office supplies and maintain inventory.
✔️ Coordinate meeting room calendars and schedule meetings.
✔️ Perform clerical duties like filing and photocopying.

Facilities Management

✔️ Ensure all facilities are properly managed and update the Director on requirements.
✔️ Identify opportunities for cost efficiencies.
✔️ Manage parking operations, including activation/deactivation and ticket collection.

Self-Management

✔️ Maintain consistent quality and productivity standards.
✔️ Demonstrate flexibility to balance objectives while addressing organizational needs.
✔️ Ability to manage competing tasks and prioritize effectively.

Minimum Requirements

Matric (Grade 12)
(NQF 5) Secretarial/Administrative Diploma (Advantageous)
✅ Experience as a Receptionist or Front Office Representative.
Proficiency in Microsoft Office Suite and related systems.
