Job Description

The Administration Clerk is responsible for maintaining the branch’s administrative functions effectively. This includes managing stock documentation, processing claims, generating reports, and ensuring compliance with company policies.


Requirements

Education/Training:

  • Grade 12

Work Experience:

  • Minimum 1 year of administration experience

Key Performance Areas:

  1. Stock Management:
    • Receive and compare stock to delivery notes.
    • File delivery notes and assist with ad-hoc receiving duties.
    • Verify codes, prices, and stock correspond to orders and stock received.
  2. Document Processing:
    • Ensure documents are processed accurately and sequentially on the system.
    • Electronically collect invoices and link them with delivery notes and orders.
  3. Claims Management:
    • Capture and manage claims, including warranty claims, damaged items, and surplus deliveries.
  4. Client Relations:
    • Maintain positive relationships with clients and suppliers.
    • Resolve client queries promptly.
  5. Reporting:
    • Generate daily, weekly, and monthly reports, including stock-taking reports.
    • Capture stock count sheets and create variance reports.
  6. Cash Management:
    • Ensure daily cash-ups are performed accurately.
    • Manage cash surpluses and shortages per policy.
  7. Communication:
    • Regularly liaise with suppliers on outstanding invoices, credit notes, and stock discrepancies.

Technical Knowledge/Competencies:

  • Proficient in MS Office (Word, Excel, Outlook)
  • Strong verbal and written communication skills
