Dispatch Supervisor (Nightshift) – Full-Time Position
Location: Kempton Park, Johannesburg, Gauteng
Purpose of the Job
The Dispatch Supervisor will oversee dispatch processes and manage staff in the dispatch area to ensure all activities align with company values and meet customer requirements effectively.
Key Responsibilities
Process
- Ensure that Standard Operating Procedures (SOPs) are understood, trained on, and adhered to, guaranteeing the correct execution of dispatch procedures.
- Utilize various business systems effectively for dispatch operations.
- Plan outbound stock dispatches daily based on expected volumes, ensuring adequate staff allocation to meet these requirements.
- Organize picking processes accurately to fulfill volume demands efficiently.
- Ensure all necessary materials and equipment are available for effective dispatch tasks.
- Handle stock carefully to maintain its condition, packaging, and any specific product requirements during dispatch.
- Investigate any discrepancies related to documentation, vehicles, seals, or products upon dispatch.
- Communicate issues with customers promptly and resolve all discrepancies within 24 hours.
- Arrange vehicles as needed, ensuring timely booking and availability for stock dispatch.
- Control handovers of stock to other operations per the relevant system processes.
- Verify that all loading procedures are executed correctly according to required protocols.
- Ensure all dispatched loads are properly secured before leaving the warehouse.
- Manage and maintain the Work In Progress (WIP) report daily.
- Maintain control of documentation and ensure that all filing is up to date.
- Oversee dispatch reports, ensuring they are managed, monitored, actioned upon, and reported to respective managers.
- Analyze dispatch statistics from reports and utilize this information for operational improvements.
Staff Management
- Supervise dispatch staff, monitoring productivity within the dispatch area.
- Plan resources effectively to meet operational requirements while minimizing overtime to essential cases only.
- Ensure dispatch staff receive necessary training and conduct on-the-job training as required.
Quality, Health and Safety, and KPIs
- Ensure that dispatch KPIs are known, understood, measured, managed, and reported monthly.
- Take proactive actions to meet performance targets and maintain quality standards.
- Implement and uphold all Quality Management System (QMS) procedures.
- Raise Non-Conformance Reports (NCRs), Non-Conformance Procedures (NCPs), and Internal Observations (IOs) daily, motivating staff to use the system to enhance operations.
- Ensure timely closure of all NCRs/NCPs and IOs within the required lead times (5 working days).
- Maintain standards of Health and Safety, adhering to the Occupational Health and Safety Act requirements.
- Conduct monthly checks as required and uphold housekeeping standards daily.
MHE and Asset Management
- Secure the facility, stock, and assets, implementing all Loss Control policies and procedures.
- Maintain and account for all assets, ensuring they are reported as required.
- Optimize the use of all assets and Material Handling Equipment (MHE).
Minimum Requirements
- Grade 12 (Matric) certification.
- Logistics, warehouse, or business management diploma/degree is beneficial.
- 5 years of experience in the logistics or warehouse industry.
