Position: Sales Administrator

About the Role:
As a Sales Administrator, you will support sales executives by ensuring smooth operations such as invoicing, requesting quotes, and maintaining accurate records. You will report directly to the Sales Admin Manager and be based at a Volvo branch in Bloemfontein, Cape Town, Durban, or Jet Park.
Job Objectives:
- Provide general support to Sales Executives, handling customer inquiries via phone, email, or in person.
- Prepare and finalize sales contracts, ensuring compliance with policies and submitting documents.
- Assist with vehicle preparations, obtaining quotes, and coordinating logistics for vehicle deliveries.
- Confirm details for invoicing, ensuring accuracy and customer specification compliance.
- Manage vehicle preparation for handover, including registration and documentation.
- Assist in vehicle movements, delivery coordination, and maintaining delivery records.
- Submit required documentation to customers and banks, follow up on payments.
- Support after-sales processes and maintain customer records in CRM.
- Prepare monthly reports of undelivered vehicles.
- Assist with trade-in processing, ordering driver kits, and other administrative tasks.
Qualification & Experience:
- Minimum: Matric Certificate or higher qualification.
- Preferred: National Diploma in Office Administration.
- At least 2 years of administrative experience in the Automotive Industry.
- 2-3 years of experience in Sales (desirable).
- Proficiency in Microsoft programs such as Excel and other invoicing systems.
Skills Required:
- Attention to detail, organizational, and customer service skills.
- Strong documentation, time management, and interpersonal skills.
- Ability to work independently, under pressure, and within deadlines.
- Team player, confident, proactive approach.
- Competency with Office 365 and Volvo Group systems.
- Technical awareness of motor vehicles.

- Ability to remain calm under pressure.

- Travel Required: Occasional.
