Purpose of the Job:

The Driver/Messenger is responsible for safely transporting people, documents, and/or goods, adhering to road safety rules and work schedules, and reporting any vehicle defects or accidents. The role also involves administrative tasks related to document management and deliveries.

Key Performance Areas:

1. Messenger Services:

  • Collect and verify correspondence from government institutions.
  • Deliver packages or messages on time, handling them with care.
  • Drive the delivery truck to designated locations and reconcile packages upon delivery.
  • Maintain communication with both the destination and point of departure.
  • Record deliveries in the logbook and confirm deliveries upon return.
  • Plan efficient delivery routes and follow the company’s document distribution procedures.

2. Administration:

  • Monitor and ensure requests for copying or binding are completed promptly.
  • Ensure messenger services are available for delivery to government departments, financial institutions, and clients.
  • Archive scanned files according to the National Archives Act and RAF’s Records Management strategies.
  • Prepare and capture records for transfer to off-site storage and maintain records for items stored off-site.
  • Maintain an updated inventory of departmental records and manage the final disposition log for destroyed records.
  • Ensure the postal service facility in the branch is operating efficiently.

3. Transportation:

  • Safely load and unload merchandise and transport materials, products, and staff to their required locations.
  • Identify and report any electrical or mechanical faults to the Facilities Manager.
  • Perform daily vehicle inspections to ensure safety standards are maintained.
  • Ensure equipment such as the copying and binding machines are well-maintained.

4. Reporting:

  • Report vehicle defects, accidents, traffic violations, or loss of equipment.
  • Maintain a log of vehicle usage as per the Fleet Management Policy.
  • Report any unexpected delays or issues with major equipment to supervisors immediately.

5. Mail Processing:

  • Register and stamp incoming/outgoing correspondence.
  • Sort and prepare incoming documents for delivery.
  • File correspondence according to RAF’s procedures.
  • Prepare mail for posting, bulk distribution, and manage registered mail tracking.

Qualifications and Experience:

  • Matric or Grade 12 certificate.
  • Valid Code 10 (EC1/EC) driver’s license.
  • Professional Driver’s Permit.
  • Minimum of 1-year experience in a driving/messenger services environment.

Technical and Behavioural Competencies:

  • Ability to assess vehicle safety and roadworthiness.
  • Knowledge of transporting people, goods, and equipment.
