Job Description

We are looking for an Executive Assistant to play a crucial role within the organisation, providing comprehensive administrative support to the CEO and working closely with the executive management team. The incumbent will be responsible for ensuring the smooth and efficient operation of the CEO’s office, managing schedules, coordinating meetings, and handling confidential matters with the utmost discretion. The Executive Assistant must demonstrate exceptional organisational skills, attention to detail and professionalism in executing executive support tasks. The position is based in Sandton.
Responsibilities:
• Handle and respond to all CEO’s office queries daily.
• Provide administrative and secretarial support to the CEO and Management Team.
• Collaborate with other teams to facilitate smooth communication and workflow in the CEO’s office.
• Arrange meetings, take, and distribute minutes.
• Prepare and be responsible for all filing and documentation.
• Organise and assist with different organisational events.
• Manage emails and phone calls while disseminating their priorities.
• Capture and control data quality in the CEO’s office.
• Be able to collate information and write well.
• Screen and prioritise incoming communications, including emails, phone calls, and correspondence, ensuring prompt and accurate responses.
• Keep track and anticipate CEO’s needs and proactively provide support, including documents preparation and expense tracking.
• Complete and follow-up relevant invoices that need to be paid.
• Submit all documentation for payment and follow up.
• Coordinate and arrange meetings.
• Make all necessary arrangements for travel.
• Follow up on payments and flight and accommodation bookings.
• Assist with office management matters.
• Secretarial duties.

Requirements

Requirements

  • Minimum 5 years’ as an Executive Assistant/PA at senior management level. CEO level preferred.
  • A Bachelor’s Degree in Business Administration or equivalent qualification.
  • Excellent Microsoft Office skills are a prerequisite
