Job Description
A forward-thinking financial services organisation is seeking a detail-oriented Payroll Administrator to join their team. You will be responsible for ensuring the accurate and timely processing of payroll for both internal staff and external clients. This is a full-time role based in-office. Working hours are 8am to 5pm Monday to Thursday and 8am to 4pm on Fridays.
Responsibilities:
- Integrate new staff into the VIP system and other payroll systems as required.
- Process payroll submissions, ensuring accuracy and compliance.
- Handle monthly and annual internal payroll submissions and payments.
- Process payrolls for external clients with precision.
- Conduct annual payroll reconciliations.
- Reconcile EMP201s monthly, upload them to the SARS website, and prepare for payment.
- Manage EMP501 annual and bi-annual submissions.
- Handle PAYE penalties submissions.
- Compile, prepare, and issue IRP5s to staff.
- Manage SARS E-filing submissions and respond to all SARS correspondence.
- Obtain tax directives for retrenched staff.
- Review all new starters captured on VIP using a checklist to ensure information accuracy.
- Process payroll information on VIP.
- Generate annual leave balance reports for manager sign-off and perform annual leave reconciliations on request.
- Capture invoices for employees and independent contractors.
- Submit monthly UIF reports.
- Address work-related queries from department managers and clients.
- Bill clients using CaseWare.
- Provide solutions to payroll-related problems for clients.
- Keep clients informed about their outstanding debts and deadlines.
- Compile and enter payroll data, including salary adjustments, new engagements, promotions, and terminations.
- Verify and correct timekeeper reports on a weekly basis.
- Capture leave and conduct monthly leave audits.
- Perform monthly reconciliations.
- Ensure payroll deductions are correctly deducted from wages/salaries and paid to relevant third parties.
- Liaise with clients, auditors, and partners as needed.
- Perform any other tasks necessary for the smooth conduct of the employer’s business as directed by management.
Requirements
- Proven experience as a Payroll Administrator or similar role.
- Previous experience in an accounting firm is essential.
- Proficiency with VIP Payroll and SARS E-filing systems (CaseWare, SAGE and SimplePay experience is highly advantageous).
- Strong understanding of payroll processes and relevant legislation.
- Excellent attention to detail and organisational skills.
- Ability to handle confidential information with integrity.
- Strong communication skills for liaising with clients and internal departments.
