Job Description

We are in search of an energetic and detail-oriented individual to join our client as a part-time Virtual Assistant, supporting their finance department. The ideal candidate will demonstrate strong organisational abilities, quick thinking and adaptability to manage diverse tasks independently, as well as being proficient in Microsoft Office Suite, tech-savvy, and customer-centric. This is an independent contract role for 3-4 hours a day, Monday to Friday, and is a remote role with 1 day spent in the office initially for project briefing.
 
 
Responsibilities:

Client Communication:
  • Manage a list of approximately 400 financial statement clients.
  • Email or call each client to follow up on outstanding information requested in initial communications.
  • Record notes on non-trading or de-registered entities for further outreach.
Email Management:
  • Send emails on behalf of the Director to respective clients using granted email permissions.
Project Coordination:
  • Reach out to 20 clients per day and conduct subsequent follow-ups as necessary.
Reporting and Documentation:
  • Maintain accurate records of all client interactions and updates.
Additional Tasks:
  • Perform additional tasks as assigned by the Director.

Requirements

 
  • Must have your own laptop.
  • Ideal candidate should be based in Cape Town for occasional briefings at the Woodstock office.
  • Familiarity with the accounting industry is preferred.
  • Strong organisational abilities to manage various tasks, schedules, and priorities efficiently. Ability to multitask and maintain attention to detail.
  • Written and verbal communication to interact effectively with clients, team, suppliers, stakeholders.T
  • Tech-savvy: Ability to use office software like Microsoft Office Suite (Word, Excel, PowerPoint) and familiar with digital communication tools and platforms.
  • Accuracy and precision in execution of tasks (data entry, record keeping, document preparation).
  • Eye for detail to aim for quality work and excellence.
  • Maintaining confidentiality, professional standards.
  • Demonstrate integrity and professionalism in all interactions and activities.
