Position Overview
The General Office Assistant at Kia SA (IMFRG, Umhlanga) is responsible for providing administrative and operational support across office and dealership activities. This includes auction documentation, financial coordination, logistics, compliance, scheduling, and data management to ensure smooth and efficient operations.
Key Responsibilities
Auction Listings & Documentation

Upload vehicles to Bid4Cars platform with accurate details including mileage and condition reports.

Photograph vehicles and verify dealer trade-in valuations against market prices.

Collect and validate NATIS registration documents and log them in the tracking system.
Financial & Handover Coordination

Generate invoices, verify payments, and oversee buyer handovers (keys, manuals, and compliance documents).

Maintain digital key control and conduct weekly audits.

Execute work activities efficiently to maximize office efficiency and minimize delays.
Logistics & Compliance
-
Schedule vehicle movements between different locations as required.

File sales agreements, auction results, compliance certificates (digital/physical), and other essential documentation.

Record daily activities in the Operations Logbook and assist with audits.
Qualifications and Experience
-
High school diploma (NQF 4) or equivalent.

1–2 years’ experience in administrative roles (automotive trade preferred).

Proficiency in Microsoft Office Suite (Excel, Word, Outlook).

Valid driver’s license.

Keen attention to detail and strong organizational skills.
