Coordinate Maintenance Activities to Ensure Smooth Hotel Operations
InterContinental Table Bay Cape Town is seeking a proactive Maintenance Co-Ordinator to support and coordinate maintenance activities across the hotel facilities. This role requires strong administrative skills and the ability to work with multiple teams and contractors to ensure timely maintenance and upkeep.
Purpose of the Role
Provide comprehensive administrative and general support to the Repairs & Maintenance department. Ensure efficient implementation and consistent delivery of services to all clients and stakeholders by coordinating schedules, managing documentation, and facilitating communication.
Key Responsibilities
Administrative Support
- Manage all administrative duties including emails, mail, and telephone communications for the maintenance office.
- Allocate and reconcile supplier invoices accurately, resolving any related queries.
- Submit expense claims following company policies.
- Monitor staff leave and manage rostering schedules with clear communication to all relevant parties.
- Order stationery and consumables as required, ensuring timely availability.
- Develop and maintain an accessible filing system for records and reports.
- Safely store confidential documents.
- Troubleshoot first-line queries from clients and vendors.
- Coordinate flow of documents, both paper and electronic, to appropriate stakeholders.
- Prepare and distribute reports, meeting minutes, presentations, and departmental documents.
- Follow up on outstanding action items from meetings.
- Liaise with travel service providers for travel, car hire, and accommodation arrangements.
Meeting Coordination
- Schedule and send invitations for meetings well in advance to allow delegate preparation.
- Prepare and distribute meeting agendas and minutes promptly.
- Book suitable meeting venues based on attendee numbers and required equipment.
- Arrange necessary equipment such as laptops, projectors, and air conditioning.
- Organize catering according to RSVP and dietary requirements.
Requirements
- Grade 12 certificate.
- Secretarial diploma or related qualification is an advantage.
- Minimum 2 years’ experience in administrative or secretarial roles.
- Ability to work shifts as required by operational demands.
