ABOUT THE ROLE
The Finance Administrator will play a critical role in providing financial administrative and office support within the Shared Service Centre (SSC). You will be responsible for ensuring the smooth implementation and consistent delivery of financial services to all clients and stakeholders in accordance with established accounting policies and procedures. This role demands accuracy, attention to detail, and the ability to handle multiple financial administrative functions efficiently.

KEY RESPONSIBILITIES
- Monitor and manage all query workflows through Kofax Total Agility (KTA), ensuring queries are routed correctly and first-line responses are provided when applicable.
- Facilitate the onboarding of suppliers to the Shared Service Centre, ensuring all compliance requirements are met.
- Create purchase requisitions and purchase orders in line with company procedures and submit for approval.
- Receipt purchase orders and submit invoices accurately and promptly for payment processing.
- Capture and process employee expense claims within SSC according to company policies.
- Provide backup support across various SSC functions such as Accounts Payable queries when required.
- Deliver comprehensive administrative support including email, mail, and telephone correspondence management for the SSC office.
- Process goods receipts for supplier invoices upon receiving approval from the Head of Department (HOD).
- Monitor and track staff leave in alignment with departmental norms and company policy.
- Prepare and distribute reports, minutes, presentations, and other departmental documents to relevant stakeholders.
- Follow up on outstanding issues and action lists derived from meetings and minutes to ensure timely resolution.
- Manage petty cash administration in accordance with company controls and procedures.
MINIMUM REQUIREMENTS
Education
- Grade 12 (Matric) qualification.
- Financial accounting background is essential, with preference given to candidates currently studying towards an accounting diploma or degree.
Experience
- At least 3 years of experience in administrative or financial support functions within a corporate environment.
Skills and Knowledge
- Strong planning and coordination capabilities.
- Ability to handle sensitive information and follow instructions meticulously.
- Competence in clerical and administrative duties related to finance.
- Proactive problem-solving skills and keen attention to detail.
- Demonstrated initiative and customer service orientation.
- Excellent relationship building and communication skills, both written and verbal.
- Familiarity with internal compliance standards and company policies.
- Knowledge of Shared Service Centre structure, processes, and channels.
- Computer literacy with proficiency in MS Office and Peoplesoft systems.
- Experience working with IFS for purchase requisitions is highly advantageous.
- Professional image and conduct in line with corporate standards.
