This is a fixed-term contract role ideal for a vibrant, professional, and proactive individual who enjoys being the first point of contact in a corporate setting.
Minimum Requirements
To be considered for this opportunity, you must meet the following:
- Matric / NQF 4 Equivalent (compulsory)
- Minimum of 2 years’ experience in a receptionist or front-office role
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Experience using phone and internal communication systems
- MS Office certificate – advantageous
- Must be well-spoken, professional, and presentable
Knowledge & Skills
Knowledge:
- MS Excel and general Microsoft Office proficiency
- Familiarity with telephone and communication systems
- Understanding of visitor control protocols and office safety procedures
Skills:
- Strong interpersonal and communication abilities
- Excellent telephone etiquette
- Highly organised, detail-oriented, and capable of multi-tasking
- Diplomatic and tactful when dealing with staff, clients, and guests
- Good technical and coordination skills
Key Responsibilities
Reception and Visitor Management
- Answer incoming calls in a professional and courteous manner
- Maintain a clean and organised reception area
- Ensure all visitors are escorted and supervised — no unaccompanied roaming
- Conduct safety inductions before visitors are granted access
- Maintain and manage boardroom calendars
- Coordinate meeting logistics, including meals and venue preparation
- Facilitate induction procedures for visitors and new employees
Courier & Parcels Coordination
- Oversee overnight express bags/parcels, ensuring proper signing and handover
- Confirm all documents are signed and received appropriately
Inventory Control of Office Consumables
- Manage stock levels of PPE and stationery in the strong room
- Share monthly stock reports with the Senior Buyer
- Create workflows for consumables to track usage and restocking
Task & Event Coordination
- Organise weekend meals for production teams working on weekends
- Coordinate meeting meals and refreshments as needed
Key Performance Indicators (KPIs)
- Adherence to company policies and administrative protocols
- High levels of professionalism and alertness at all times
- Accurate documentation and workflow management
- Timely and courteous service to staff, visitors, and clients
