Position Overview: Stock Controller
As the Stock Controller, you will be responsible for maintaining accurate stock records, processing supplier invoices, reconciling supplier accounts, and ensuring the integrity of the hotel’s procurement and financial processes. Your role is crucial in supporting the Finance Department with stock control, supplier payments, and accurate record-keeping.
Minimum Requirements

Matric (Grade 12) or National Certificate (Essential)

Strong working knowledge of Pastel Accounting Software (Essential)

Previous experience in the hospitality industry, preferably in a similar stock control or finance role (Advantageous)

Experience using Opera and F&B Point of Sale systems (Essential)

Excellent communication skills, both verbal and written

Fully literate and numerate – ability to perform calculations, interpret financial reports, and understand invoices

High attention to detail and strong organisational abilities

Ability to work accurately under pressure and meet deadlines
Key Responsibilities
Stock Control and Procurement Support
-
Maintain accurate stock records and ensure that all stock movements are properly recorded
-
Cross-check backup documentation from receiving departments against purchase summaries
-
Ensure that all stock is accounted for and that discrepancies are reported and investigated promptly

Maintain integrity and accuracy of the hotel’s procurement platform
-
Ensure that stock storage and handling follow company policies and standards
Accounts Payable and Financial Administration
-
Process invoices and requests for credit/debit notes into the Accounts Payable system
-
Prepare payment requests, cheques, and EFT summaries for review and signature by the Financial Manager and General Manager

Reconcile supplier statements against invoices and credit/debit note requests

Ensure that suppliers are paid within agreed timeframes and that available settlement discounts are secured

Maintain filing systems for invoices, statements, and supporting documentation
Financial Reporting and Compliance

Assist with financial reporting by providing accurate stock and procurement information to the Finance Manager

Ensure that all procurement and financial transactions comply with company policies and procedures

Support the Finance Team during audits by preparing and providing necessary documentation

Assist with audit requirements at year-end, ensuring smooth and efficient processes
Operational Support

Liaise effectively with suppliers, department heads, and the Finance Manager to ensure smooth procurement and payment processes

Work closely with the Food & Beverage, Kitchen, and Operational teams to maintain accurate stock levels and support efficient operations

Provide administrative support to the Finance Department as required
