The Nelspruit branch, located in Mpumalanga, is currently looking for a qualified and detail-oriented Administrator: Service Advisor to support operations within its service department.

This position is designed for an individual who is passionate about customer care, process coordination, and administrative precision in the automotive industry. The successful candidate will play a vital role in facilitating service workflows, improving customer satisfaction, and supporting technical teams.

Administrator Role Overview

The Administrator: Service Advisor will report directly to the Service Manager and be responsible for the coordination of daily activities within the service department. This includes ensuring smooth interaction between service advisors, foremen, technicians, and customers. The role demands high attention to detail, an understanding of the automotive service lifecycle, and the ability to deliver consistent service excellence.

Administrator Key Responsibilities

Coordinate workflow between service advisors, foremen, technicians, and customers
Manage daily opening and closing of the workshop
Ensure all vehicles are securely stored overnight and that keys are managed through the dealership’s keysafe system
Monitor that vehicles are parked outside at the start of each day and that key controls are enforced
Ensure job cards are properly completed and signed off by service advisors and technicians
Provide technical assistance to foremen and technicians for quoting and job estimation
Communicate booking status updates to customers promptly and professionally
Assist Service Manager, Service Receptionist, and Controller with administrative and operational support
Oversee the timely ordering of required parts for service jobs
Ensure job cards are accurately costed, invoiced, and signed by customers
Record and report customer comebacks and ensure root cause analysis is completed
Book vehicles in for services or repairs and coordinate pre-service road tests with foremen or quality controllers
Promote compliance with Toyota’s safety, tool handling, and dress code standards
Prepare and submit quotes for customer approval, and follow up on quotes not converted to sales
Promote accessories and additional services to customers

Minimum Qualifications and Experience

Educational Requirements:
Grade 12 (Matric) is essential

Work Experience:
At least 3 years of experience as a Service Advisor in the automotive sector is required
A Toyota Master Service Advisor certification is mandatory
Experience working within dealership environments, especially under the Toyota brand, is highly advantageous

Technical Requirements:
Proficiency in computer systems and dealership software
Clear criminal record
