ROLE OVERVIEW
SPAR is currently seeking a competent and enthusiastic Secretary on a 4-month fixed-term contract based in Durban to support the KZN Senior Operations Managers and their teams. This role is vital in ensuring the smooth running of administrative and communication tasks across departments and stakeholders.
The ideal candidate is detail-oriented, organized, and has excellent communication skills. You will be responsible for secretarial duties, coordination of events and meetings, compiling reports, handling internal communication, and maintaining information systems. This is a perfect opportunity for individuals with strong office administration skills who want to gain valuable experience in a high-paced retail and supply environment.
KEY RESPONSIBILITIES
Administrative and Secretarial Support

Perform daily secretarial tasks such as typing, filing, taking minutes, and managing correspondence

Maintain calendar appointments, screen and direct calls, and control internal and external communication

Create presentations and manage office stationery, stock control, and related reconciliations
Data Entry and Information Management
-
Capture data and maintain internal databases accurately for departmental use
-
Liaise with Central Office and other Distribution Centres to maintain and update operational data
Communication and Coordination
-
Assist with coordinating events, local travel, and meetings for management and team members
-
Compile and distribute reports to internal teams and external service providers
-
Communicate operational updates and relevant information to SPAR retailers
Event and Meeting Support

Provide logistical and administrative assistance during off-site DC events

Register attendees and ensure that event requirements are fully supported
MINIMUM REQUIREMENTS

Matric (Grade 12) is a minimum requirement

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

Good email and telephone etiquette

Excellent interpersonal and communication skills

Ability to work under pressure and manage multiple responsibilities

Strong attention to detail and accuracy

A polite and friendly disposition

A secretarial qualification or relevant administrative experience is advantageous
