Role Overview

The Warranty Clerk plays a vital role in the service department by ensuring the accurate processing of warranty claims in line with company policies and manufacturer guidelines. You will be the key link between Hyundai Automotive SA (HASA) and the workshop, ensuring warranty submissions are handled with efficiency, accuracy, and within the prescribed timelines. Your role will contribute to maintaining Hyundai’s reputation for trust and reliability in aftersales service.

Key Responsibilities

  • Validate all vehicle data before input to ensure documentation accuracy

  • Review job cards thoroughly before processing for car shop, paint, and panel jobs

  • Assign and verify correct damage codes on all claims

  • Expedite and finalise all warranty claim queries in a timely manner

  • Maintain the security, cleanliness, and organization of the parts claim store

  • Properly tag and manage all warranty parts as per Hyundai policies

  • Ensure prescribed parts are dispatched to suppliers within specified timeframes

  • Handle all paint shop-related warranty claims with precision

  • Liaise regularly with HASA warranty claims department for seamless processing

  • Track and follow up on ordered warranty parts and maintain a back-order listing

  • Coordinate with customers to ensure they return for pending warranty repairs

  • Check vehicle history and verify eligibility for warranty coverage

  • Ensure accurate mileage and repair history is captured on all job cards

  • Confirm warranty authorisation is secured before initiating any repair work

  • Adhere strictly to all Hyundai warranty policies and procedures

  • Reconcile warranty job cards, invoices, and claim forms against the warranty register

  • Submit complete documentation to HASA within seven days post repair

  • Follow up to confirm receipt of invoices by HASA

  • Ensure prompt costing and invoicing upon repair completion

  • Destroy failed parts according to Hyundai’s guidelines unless otherwise instructed

  • Forward parts to HASA for inspection when requested

  • Obtain customer signatures on all warranty job cards and invoices

  • Maintain warranty filing systems by chassis number

  • Maintain a report of warranty parts pending over 30 days for internal incentives

  • Fulfill any reasonable tasks assigned by management outside of listed duties

Qualifications and Experience

  • Matric (Grade 12)

  • Minimum 2 years of experience in a warranty clerk or similar role within the automotive sector

  • Familiarity with Hyundai warranty policies is a distinct advantage

  • Strong background in dealership administration and aftersales processes
