This role is key in creating a welcoming and efficient environment for visitors and staff while supporting safety and office operations.

Role Overview

As a Receptionist, you will be the first point of contact for all visitors and telephone inquiries at the Head Office. You will ensure excellent customer service, efficient switchboard operation, and adherence to health and safety protocols. Your position will also support meeting room coordination, deliveries, and administrative needs across the office.

Key Responsibilities

  • Switchboard Management

    • Answer all incoming calls promptly and professionally

    • Direct calls to the correct staff/department

    • Take accurate telephone messages and ensure timely delivery

  • Reception Desk and Visitor Management

    • Welcome and direct visitors courteously and efficiently

    • Maintain visitor logbooks and issue badges where necessary

    • Enforce front desk security and safety protocols

  • Deliveries and Office Logistics

    • Manage the flow of incoming and outgoing packages and documents

    • Log all deliveries accurately

  • Meeting Room Oversight

    • Schedule and manage bookings of meeting rooms

    • Ensure all technical equipment is functional prior to meetings

  • SHEQ Support

    • Assist the SHEQ team with health and safety-related admin

    • Serve as a first aid and fire marshal point of contact if required

  • Administrative and Ad Hoc Duties

    • Provide general administrative support across departments

    • Participate in project coordination as required

    • Assist with booking venues and conducting site visits for events or meetings

  • Office Management Assistance

    • Oversee the replenishment of office supplies

    • Coordinate repairs or maintenance of office equipment

    • Contribute to maintaining a clean and organized work environment

Qualifications and Experience

  • Matric (Grade 12) is required

  • A formal qualification in reception, administration, or call centre operations is advantageous

  • 3 to 5 years of experience in a similar front office/receptionist role in a corporate environment

  • Previous customer care or client-facing experience is a strong advantage

Skills and Personal Attributes

  • Excellent verbal and written communication skills

  • Well-groomed, professional appearance

  • Familiarity with health and safety procedures is a plus

  • Strong interpersonal and organizational abilities
