Role Overview

The Executive Assistant will serve as a critical operational partner to the CEO, managing both business and administrative responsibilities. The role requires full-time availability from 11am to 7pm EST, Monday to Friday, with occasional flexibility. As the right-hand support to a busy executive in the electronics space, the ideal candidate must be an expert multitasker, highly organized, and proactive in resolving issues before they escalate.

Key Responsibilities

  • Manage executive calendar and schedule appointments across multiple time zones

  • Prepare the CEO for meetings, including compiling relevant documentation and briefing materials

  • Draft professional correspondence and official business documents

  • Respond to emails, customer requests, and vendor queries on behalf of the executive

  • Coordinate travel logistics, including booking flights, hotels, and transport

  • Keep digital records updated and organized in SharePoint and CRM systems

  • Input and maintain data in the CRM platform for sales and operational use

  • Organize, scan, and categorize documents for digital filing

  • Prepare and send contracts and legal forms using Adobe Sign

  • Assist with bill payments, expense reports, and time tracking

  • Manage supply orders for office and warehouse needs

  • Handle dictation and document typing with a high degree of accuracy

  • Communicate professionally with clients, customers, and service providers

  • Execute additional duties as assigned to support the broader executive team

Qualifications and Experience

  • Minimum of 3–5 years’ experience as an Executive Assistant or Personal Assistant

  • Strong proficiency in Microsoft Office Suite, SharePoint, and CRM systems

  • Exceptional verbal and written communication skills

  • Highly organized, detail-oriented, and capable of managing multiple priorities simultaneously

  • Proven ability to meet deadlines and follow up meticulously

  • Experience working in remote, international, or startup environments preferred

  • Able to work full-time on EST hours (11am–7pm SAST / 5pm–1am SAST)

  • Ability to manage sensitive information with confidentiality and professionalism
