Role Overview

The Workshop Admin Clerk plays a crucial role in ensuring the smooth and efficient running of workshop administration. This position supports internal processes such as job card creation, pro-forma invoicing, order placements, and compliance with safety documentation. The ideal candidate will have strong attention to detail, a proactive attitude, and excellent interpersonal skills to liaise with clients and team members effectively.

Key Responsibilities

  • Create and manage job cards for workshop services

  • Generate pro-forma invoices linked to job cards

  • Place orders with external vendors related to job cards

  • Handle the daily bank deposit processes and ensure financial accuracy

  • Keep the workshop risk file (GMR) updated and ensure all documentation is signed off and compliant

  • Maintain good working relationships with internal stakeholders and external clients

  • Promptly respond to and resolve workshop and customer-related queries

  • Perform general office administration and support workshop management tasks

Qualifications and Experience

  • Grade 12 (Matric) – Essential

  • Minimum 6 months relevant experience in administrative or workshop support roles

Technical Competencies

  • Basic understanding of workshop processes and administration

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)

  • Familiarity with maintenance parts and ordering procedures

  • Experience in financial record-keeping or handling job card documentation is advantageous

Behavioural Competencies

  • High attention to detail and accuracy

  • Strong stress management and timekeeping skills

  • Professional and clear communication (English and Afrikaans fluency required)
