π Job Overview
As an Administration Clerk (Retail), you will play a critical role in the day-to-day administrative operations of the branch. This includes handling delivery documentation, maintaining accurate stock records, generating reports, and ensuring smooth cash-up procedures. You will be the go-to person for ensuring documentation accuracy and regulatory compliance, making this a pivotal position within the store’s operations team.
π Key Responsibilities

Receive and compare incoming stock to delivery notes, ensuring accuracy and proper documentation

File all delivery notes and assist with receiving-related admin tasks

Process documents and maintain accurate sequence tracking in the system

Link electronic invoices with delivery notes and purchase orders

Manage claims including warranty claims, damaged stock, shortages, surplus deliveries, and expired items

Maintain strong relationships with internal and external clients and resolve queries promptly

Generate and maintain regular reports: outstanding claims, purchase orders, and negative on-hand stock

Assist with quarterly stock-taking, generating reports, and capturing physical stock count sheets

Communicate with suppliers on outstanding invoices, credit notes, or stock issues

Validate that pricing and stock codes align with system data and supplier documentation

Perform daily cash-ups and ensure any discrepancies are managed in accordance with policy

Report daily cash-up balances and issues to the Regional Banking Clerk
π Minimum Requirements
Education:
-
Grade 12 (Matric)
Experience:
-
Minimum of 1 year administrative experience, preferably in a retail or warehouse setting
π οΈ Technical Skills and Competencies

Strong computer literacy, especially MS Office (Word, Excel, Outlook)

High-level accuracy and attention to detail

Excellent verbal and written communication skills

Ability to interpret financial documents and reconcile cash/stock

Familiarity with inventory and retail administrative systems is advantageous
