📋 Role Overview
As the Virtual Assistant – Media and PA, your main mission will be to support the CEO in their day-to-day operations and help them stay focused on high-level creative and strategic work. You’ll take ownership of admin processes, client follow-ups, and diary management. You will be expected to work approximately 12 hours per week and deliver results with minimal supervision.

📌 Key Responsibilities
🔹 Administrative Support

Organise, label, and file incoming digital documents, notes, and emails

Maintain and update client records and active project files

Prepare basic weekly summaries or reports on pending tasks and client activity
🔹 Client Engagement & Follow-ups

Keep track of all sent proposals, pending client replies, and feedback

Send gentle email or WhatsApp reminders to ensure client engagement

Draft and polish follow-up messages to maintain professional communication
🔹 Calendar & Diary Management

Coordinate the CEO’s calendar and schedule meetings efficiently

Ensure time is blocked off for personal tasks, creative breaks, and strategy sessions

Send Google Meet invites with proper preparation materials included
✅ Requirements

5+ years’ experience as a Virtual Assistant or Personal Assistant

Fully equipped home office with stable internet connection

Strong knowledge of Google Suite and cloud-based file management
-
Familiar with basic report generation and CRM updates

Proactive and highly organised personality with a “can-do” mindset

Excellent verbal and written communication skills

Ability to take initiative, follow up independently, and manage shifting priorities

Experience in social media coordination is a strong advantage

Previous work in the media, publishing, or creative industry is beneficial

Strong background in minutes-taking and meeting coordination
