🧭 Role Overview
Triton Express is looking for a well-organized, professional, and customer-focused Receptionist to join its Cape Town team on a contract basis. This role serves as the face and voice of the company, offering front-line support to clients, internal staff, and service providers. The ideal candidate is someone who thrives in a fast-paced environment, is passionate about service delivery, and is capable of multitasking efficiently while maintaining a calm and courteous demeanor.
🛠️ Key Responsibilities
📞 Telephone and Front Office Management

Answer all incoming calls professionally, transfer them accordingly, or take accurate messages

Source telephone numbers and place outgoing calls upon request

Liaise with Telkom and Alcatel for phone system maintenance

Greet clients and visitors warmly, providing direction or resolving queries

Ensure the reception area is clean, organized, and welcoming
-
Receive parcels and correspondence, and ensure timely distribution
📋 Customer Support and Communication

Conduct telephonic customer satisfaction surveys and log feedback
-
Prepare accurate freight quotations using Freightware data and distribute them to clients

Investigate and resolve basic freight queries and discrepancies using waybill reports
-
Reconcile customer statements and assist with general account inquiries
-
Liaise with clients regarding deliveries, collections, and service information
🚚 Operational and Admin Coordination

Supply drivers with necessary stationery and update discrepancy manifests
-
Monitor delivery processes, track outstanding PODs, and escalate concerns
-
Generate and maintain reports such as “Waybills Awaiting Delivery” and follow up on problem deliveries

Process collection orders and generate collection registers and quotes
-
Confirm inter-branch collections and assist with cheque handling
💻 Data Processing and Document Management

Accurately capture waybill data including service levels, dimensions, and destinations

Verify entries and correct scan manifests as needed

Capture PODs and submit to management and Head Office

Process and reconcile all COD (Cash on Delivery) payments and report deposits to Head Office
🗂️ Additional Administrative Support

Maintain stationery inventory and submit monthly reconciliations

Collect and submit petrol card slips and update diesel usage sheets

Undertake filing, invoice copying, and other ad hoc admin tasks as assigned
🎓 Qualifications and Experience

Grade 12 / Matric (Essential)

1–2 years in a reception or general administrative role (Required)

Proficiency in MS Word, Excel, Outlook

Familiarity with Freightware or similar systems (Advantageous)

Must have own reliable transport
