Job Purpose

RCL Foods is looking for a Clerk to join our Groceries Business Unit/Division in Randfontein. The successful candidate will play a vital role in managing the intake of raw materials, processing related documents, and ensuring adherence to the company’s SHEQ policies. This position will report directly to the Raw Materials Coordinator and involve daily stock management, document processing, and supporting the SHEQ training efforts within the organization.


Clerk Key Responsibilities

Stock Management & Reporting

  • Conduct daily stock counts on all bulk raw materials and by-products, ensuring accuracy and capturing counts in a timely manner.

  • Communicate daily stock counts and report findings to management.

  • Ensure that the intake register for all incoming and outgoing loads is completed and communicated to management.

Document Processing

  • Print and record all loading documents to ensure accurate tracking of incoming and outgoing goods.

  • Process all intake documents for received loads, ensuring that daily Goods Received Notes (GRNs) are entered into the system.

  • Process staff time sheets and submit them for approval/sign-off in a timely manner.

  • Manage the leave workflows for employees, ensuring they are properly documented and submitted for approval.

Training and Compliance

  • Conduct regular SHEQ training (toolbox talks) for staff and maintain training registers for submission to relevant departments.

  • Implement and train all policies and procedures related to safety, health, environment, and quality standards.

  • Ensure that the SHEQ policies are effectively maintained and all related training is up to date.

Asset Management & Equipment Handling

  • Manage and monitor all assets, ensuring that equipment is used safely and that no equipment is misused.

  • Perform regular inspections of office equipment, canteens, and change rooms, ensuring all requirements are met.

  • Raise job cards for any maintenance requirements and ensure timely action is taken to resolve issues.

Audit and Non-Conformance Management

  • Investigate and address findings from GMP audits, ensuring corrective actions are taken and documented.

  • Raise non-conformance reports in the system when required and follow up to ensure issues are resolved in a timely manner.

Requisition and Procurement

  • Reorder Personal Protective Equipment (PPE) in line with annual requirements and ensure stock levels are maintained.

  • Replenish office supplies, such as tea, coffee, stationery, and any other intake-related requisitions as needed.

  • Maintain inventory records and ensure that requisitions are placed for any required materials or supplies for the business.

Other Responsibilities

  • Update notice boards with important policy changes, new regulations, and other essential information.

  • Ensure smooth operation of all administrative processes, contributing to a positive and efficient work environment.


Minimum Requirements

Qualifications

  • Grade 12 (Matric) or equivalent.

Skills & Experience

  • Understanding of inward logistics and raw material handling.

  • Proven experience as a forklift driver, with a valid forklift driving license.

  • Familiarity with Syspro, SAP, and MS Office is required.

Attributes & Abilities

  • Strong organizational skills and ability to manage multiple tasks efficiently.

  • Excellent attention to detail with the ability to handle administrative duties accurately.

  • Good communication skills (written and verbal) for interacting with various departments and external vendors.

  • Ability to work under pressure and meet deadlines in a fast-paced environment.

  • Proactive attitude with the ability to take initiative and solve problems.
