A fantastic opportunity is available for a Senior Admin Clerk to join our dynamic team. This role is ideal for an experienced professional with a strong background in administrative support, office management, and HR operations.

Job description
The Senior Admin Clerk will provide comprehensive administrative and secretarial support to the Human Resources and Payroll Departments, ensuring efficient office operations and optimal service delivery.

KEY PERFORMANCE AREAS

General and Office Administration:

  • Streamline department calls, ensuring smooth communication.
  • Maintain an up-to-date and efficient filing system.
  • Manage the supply of standard stationery and office materials.
  • Supervise the general assistant staff for smooth departmental operations.

Departmental Administrative Support:

  • Assist with diary management and scheduling of meetings.
  • Organize meetings and conferences, including refreshments and venue bookings.
  • Coordinate the ordering of uniforms for staff members.
  • Handle inter-DC post via courier services.
  • Create purchase orders and track vendor payments, ensuring timely payment of invoices.

HR Administration:

  • Upload vacancies on SharePoint.
  • Update and manage the HR Notice Board.
  • Organize birthday list and card distribution.
  • Administer fuel card applications and manage background checks.
  • Maintain a database of all graded roles and outcomes.
  • Keep HR legal agreements with vendors in an organized folder.

Travel Arrangements:

  • Book flights, transport, and accommodation for HR and management.
  • Manage forex requirements when necessary.

Presentations:

  • Assist with the preparation and design of presentations.

Ad hoc Duties:

  • Coordinate events such as Comms Sessions, Cake Day, and other special activities.
  • Supervise the use of meeting rooms and ensure all logistics are in place.

Minimum Requirements:

  • Matric certificate.
  • Tertiary qualification in administration/secretarial with a focus on HR preferred.
  • A minimum of 6 years’ experience in a similar role, including office management and support to senior executives.
  • Proficiency in MS Office (at least 2 years’ experience).
  • Experience in SAP Purchase Order Creation.
  • SharePoint experience is advantageous.
