Purpose of the Role
The Creditors Clerk plays a crucial role in ensuring accurate and timely financial transactions related to stock acquisition. This involves verifying invoices, processing payments, and maintaining strong supplier relationships to avoid late payment penalties and support effective inventory management.
Key Responsibilities
1. Invoice & Payment Processing
- Reconcile purchase orders, delivery receipts, and invoices.
- Identify and resolve discrepancies in stock quantities, descriptions, and pricing.
- Process payments to creditors within agreed payment terms.
- Take advantage of early payment discounts where applicable.
2. Vendor Communication & Compliance
- Communicate with suppliers to resolve invoice discrepancies.
- Handle new vendor credit applications.
- Ensure compliance with company policies and accounting standards.
3. Documentation & Reporting
- Maintain organized financial records for audits and reviews.
- Provide insights into spending patterns and financial metrics.
- Support external audits by providing necessary documentation.
4. Problem Resolution & Confidentiality
- Investigate and resolve any stock-related payment issues.
- Maintain strict confidentiality in handling financial transactions.
Minimum Requirements
Education: Matric (Grade 12) or equivalent higher qualification.
Experience: Previous experience in accounts payable or finance is beneficial.
Software Proficiency:
- IQ Accounting Software (crucial).
- Microsoft Office Suite & Adobe (essential).
