Job Description
The Receptionist will serve as the first point of contact for customers, callers, and visitors to the company, ensuring that all interactions are handled professionally and efficiently to maintain a positive public image. This position is based at MontClare Place in Cape Town and reports to the Personal Assistant.
Key Responsibilities
- Greet and interact with clients, tenants, and contractors in a busy reception area
- Book and coordinate meeting rooms
- Manage incoming and outgoing mail, including liaising with messengers
- Perform general office duties, such as filing and photocopying
- Answer and screen phone calls, providing basic information and directing calls as needed
- Take telephone messages for staff members
- Coordinate with contractors and vendors for maintenance requests (e.g., air conditioning, fire department, plumbing issues)
- Maintain a tidy reception area
- Resolve customer/tenant queries professionally
- Liaise with the Refreshments Team to ensure meeting room service and manage lunch orders
- Handle petty cash
- Manage keys and contractor register
- Order and control stationery supplies
- Update contact details and maintain records
- Process invoices on Fraxion for various portfolios (e.g., Legal, Tenant Installations, Brokers Commission)
Requirements
Experience
- Minimum two years of experience in reception and administration
Qualifications
- Matric/Grade 12

- Excellent verbal and written communication skills
- Reliable, trustworthy, honest, and highly organized
- Strong interpersonal skills
- Basic computer proficiency (Outlook, Word, Excel)
- Proven track record of client liaison and switchboard experience
- Friendly, outgoing, and well-presented
