Purpose of the Job
The Payment Clerk ensures the accurate and efficient processing of financial transactions within the organization, particularly related to Trade Transactions (TTs) and Letters of Credit (LCs). This role involves preparing, verifying, and managing payment documentation while maintaining compliance and supporting internal and external stakeholders.
Job Objectives
- Transaction Management:
- Enter financial data for TTs and LCs on SAP.
- Perform payment runs and document preparation on the bank system.
- Verify financial entries posted on SAP for import supplier payments.
- Send proof of payment to suppliers.
- LC Management:
- Prepare LC establishment reports using Bamboo Rose.
- Establish LCs on the bank system and share copies with forwarders and clients.
- Process LC amendments and discrepancies.
- Reporting and Query Resolution:
- Prepare debtor entries on SAP.
- Resolve payment and vendor queries.
- Provide query resolution information to management.
- Administrative Duties:
- Maintain accurate online filing for TTs and LCs.
- Enter expense creditor information on SAP.
- Serve as backup for other payment clerks.
Qualifications
Essential:
- Grade 12 qualification
Advantageous:
- Commercial Diploma
Experience
Essential:
- Minimum of 1 year of trade creditors’ administrative experience, preferably in a retail environment.
Knowledge and Skills
- Administrative Expertise: Strong organizational and administrative skills.
- Technical Proficiency: Experience with SAP and banking systems.
- Software Skills: Proficiency in MS Office (Word, Excel, PowerPoint).
- Attention to Detail: Ensures accuracy in financial data entry and reporting.
- Problem-Solving Skills: Ability to resolve payment and vendor queries efficiently.
