Purpose of Job

To provide administrative support to an allocated team, promoting efficiency in day-to-day operations.


Key Accountabilities

  • Administrative Support:
    • Handle inquiries, schedule appointments, and develop presentations.
    • Organize and attend meetings, taking minutes and maintaining notes.
    • Book rooms and conference facilities, manage event calendars.
    • Coordinate travel arrangements and plan both in-house and external conferences.
    • Order and maintain office stationery and equipment.
    • Perform office administration and support duties, including managing appointments and mailing documents.
    • Prepare and type documents, letters, and reports.
    • Organize and store paperwork, documents, and computer-based information.
    • Perform photocopying and printing as needed.
    • Capture and reconcile data for management reports from various internal and external sources.
    • Maintain a filing system, updating records, reports, and files as needed.
    • Ensure adherence to service level agreements and assist with tasks like invoicing and document filing.
    • Handle calls, messages, and assist with the coordination of travel and accommodation.
    • Greet visitors, clients, and staff, handling their inquiries and directing them as appropriate.
    • Monitor expenditures and keep accurate records within the department.
    • Ensure the smooth operation of office tasks and manage office supplies efficiently.

Formal Education & Experience

Formal Education

  • Grade 12 or Matric

Experience

  • 2+ years of relevant experience in office administration.
