Job Description

Europcar Van Rental is seeking a proactive and detail-oriented Administrator to join their administration team at the Pomona branch in Kempton Park. The ideal candidate should have at least 2 years of administrative experience in the car rental or logistics industry and the ability to work efficiently under pressure.


Position Overview

  • Primary Responsibility:
    • Complete ownership of the branch administration, supporting customer service delivery, and ensuring the effective management of branch operations.

Specific Responsibilities

  • Administrative Tasks:
    • Assist the branch manager with specific duties, including managing overdue rentals.
    • Pull and compile daily, weekly, and monthly reports, including stats and feedback on areas requiring attention.
    • Ensure the branch is compliant with regulations and clear all compliance reports and deadlines.
    • Administer fuel recons (if applicable), handle invoicing, and assist with reservations loading.
    • Maintain meticulous records for the branch and assist with claims administration and filing.
    • Handle general administrative duties such as scanning, indexing, and preparing minutes for meetings.
  • Customer Liaison:
    • Answer phone calls and provide customer service support as needed.
    • Follow up on overdue rentals and ensure accurate submission of cash accounts to customers.
  • Health & Safety:
    • Submit and clear monthly health and safety reports.

Qualifications & Experience

  • Minimum Education:
    • NQF Level 4 qualification (Grade 12 or equivalent).
  • Preferred Qualification:
    • Secretarial or Business Administration qualification.
  • Experience:
    • At least 2 years of relevant administrative experience in the car rental or logistics industry.
  • Other Requirements:
    • Valid, unendorsed driver’s license.
    • Computer literacy with a high level of accuracy.
    • Willingness to work overtime and weekends when required.
