Role Purpose:

The Legal Support Administrator is responsible for providing administrative support within the legal department, ensuring the effective management of contracts, and maintaining accurate records while adhering to legal and regulatory standards.


Key Responsibilities:

  • Procedure & Policy Adherence:
    • Follow established procedures and policies, and contribute to the continuous improvement of processes.
    • Ensure monthly tasks and reports are completed on time.
  • Contract Management:
    • Manage the contract lifecycle, ensuring all necessary contract documentation is in place, accurate, and effectively completed.
    • Collaborate with internal and external stakeholders to manage contracts related to procurement, sales, and new business.
  • Tracking & Managing Contracts:
    • Maintain an organized system to track contracts, key milestones, expiration dates, and renewal options.
    • Ensure the proper documentation of contract amendments, approvals, and communications.
  • Stakeholder Collaboration:
    • Work closely with departments such as procurement, finance, and operations to gather the necessary information for contract administration.
  • Legal Support & Compliance:
    • Stay updated on legal and regulatory developments impacting contract administration.
    • Assist in drafting and finalizing contracts, ensuring proper formatting, spell checking, and cross-referencing.
  • Record Keeping:
    • Maintain an organized system of physical and digital records for contracts.
    • Follow up with internal stakeholders on missing or invalid documents.

Qualifications & Experience Required:

  • Educational Background:
    • National Senior Certificate (Matric).
    • Certificate or Diploma in Legal Support Services, Paralegal Studies, or Legal Secretary Studies from a recognized institution.
    • A Bachelor’s degree in law (LLB) is advantageous but not mandatory.
    • Short course in legal administration or legal document preparation accredited by SAQA.
  • Work Experience:
    • 2-5 years of relevant experience in legal administration or support.

    • Ability to prioritize tasks, maintain meticulous records, and manage workflows efficiently.
  • Proficiency in Microsoft Office:

  • Legal Knowledge:
    • Strong understanding of legal terminology and familiarity with legal compliance standards (e.g., POPI, Labour law).
  • Collaboration Skills:
    • Able to work with cross-functional teams and external stakeholders effectively.
  • Communication Skills:
    • Strong verbal and written communication for drafting and reviewing legal correspondence.
  • Confidentiality:
    • Trustworthy and able to handle sensitive information with professionalism and discretion.

    • Ability to identify potential issues and propose effective solutions.
