Job Purpose

Provide administrative support to the Managing Director (MD) and other internal departments, enhancing communication and operational efficiency.


Key Responsibilities

  1. Communication and Coordination
    • Act as the primary point of contact for executives, employees, clients, and external partners.
    • Manage the flow of information in a timely and accurate manner.
    • Coordinate all external customer queries.
    • Manage executives’ calendars and organize meetings.
    • Organize and maintain office filing systems.
  2. Executive Support
    • Assist MD with daily meeting arrangements and weekly/monthly schedules.
    • Screen calls, arrange travel, and organize accommodation for the MD.
    • Action ad hoc requests from MD and the Executive Committee (Exco).
  3. Administrative Support
    • Manage travel arrangements for Agrinet staff.
    • Verify accuracy of travel and card expenses, coordinating with finance.
    • Act as office manager, handling office supply inventory and general office duties.
    • Create purchase orders, GRVs, and monitor supplier invoices.
  4. Reporting and Documentation
    • Compile the Exco report, take minutes in meetings, and prepare board packs.
    • Compile minutes for risk meetings.
  5. Reception Duties
    • Fulfill receptionist duties during lunch breaks or leave of reception staff.

Qualifications and Experience

  • Educational Qualification: National Senior Certificate and a Diploma in Office Management (PA diploma or certification is preferred).
  • Experience: 3-5 years of relevant administrative experience, including roles as Executive Assistant, Personal Assistant, or similar.

Additional Information

  • Preference will be given to candidates from designated groups as part of the company’s transformation initiatives.
